Bad news, good news.
Bad news: We are almost definitely not going to get the dates we want for the event.
Good news: There's still some hope of getting something in the general area, either before or after.
More good news: I've been ensured that insurance will be relatively painless. We can't start that, though, until we submit the application and get the dates.
What I'm going to do is put the dates on top priority and alter the event based on what's available. Which includes a long conversation on the phone with Tom Landy and a set of possible dates to ask about.
I'm going to propose ANY date that falls on a weekend in the entire month of October. If they have an opening, we want it. What I need to know from you guys is if you're okay with sacrificing parts of our event (like the stage or bounce house) for the Halloween theme?
The other thing I need to know is what you all want to do in the event that there are no free dates in October. Tom said we're onto a great start by having the paperwork and stuff we have, but things like this book up very early on by annual organizations. Even if we come across an open date, he will need to call the organizations that have done events there in the past to make sure they weren't planning on using it. They get priority.
If we can't get October, I think we should weigh the pros and cons of a winter theme and a fall theme and choose one of them. If we do November, we'll go for what openings there are for what we want. For December, it will be within the first week or two so we can have it done before CAS is due.
I really need all of your feedback on this.
Pleeeeease discuss this here. We can't arrange another meeting, so this is your only chance to say anything about it. I'm going to call Mr. Landy back on Friday. I know it's not a lot of time, but that's the way it is.

I think if we're going to put on that whole singing preformance, a stage would be a good thing to have. I think, though, if we can't get an event in October we could definitely work around a winter/fall theme. We can be creative and make it work. It's mainly about raising awareness and money for kids with cancer and such so the theme is just something minor that we can work with, as are the dates. I think we can come up with a lot of activities regardless of the theme.
ReplyDeleteI like Chelsea's comment. I kinda think the stage and the bounce house are more important than the Halloween theme. Those are the things that draw people to the event. I thought the singing thing was a good idea, and I think the bounce house is a huge selling point. Makes it look a lot more legit. We want the Halloween theme, but we need some kind of legitimate entertainment or else we're better off getting a date at a different time, and we can work with a new theme. OR we would have to think of some really good entertainment ideas to replace the stage and the bounce house but I think we could make another theme work really well, too.
ReplyDeleteAlso, this isn't mentioned here, but my mom said that maybe we shouldn't make all the games because they will turn out looking sloppy and make people think we aren't serious. I know we wanted the action hours for building things, but my mom also said that it would cost us a lot more to buy supplies to make things than it would to buy something cool. I know it's more CAS if we make the things ourselves, but us trying to make things out of wood is just going to look messy and lame and turn people off, and waste money we could put to better use. We can make a few things and get hours for it, but in the end the supplies add up.
I think a fall theme is great and I agree with Chelsea and juliana. It seems we still have some great options.

i think a great pro of winter is that it's the season of giving so maybe we could work that somehow, like help give kids with cancer a chance, and yeah i think it's really important to be as kid friendly as possible so the bounce house should stay, and if the supplies will cost too much maybe we can look around to see if we can use already made wood things like that

We'll start looking for games and whatnot to buy. Hopefully we can find stuff cheap.
Once we secure our date, we'll start finding rentals.

I was originally thinking of pursuing a fall theme because of Thanksgiving. You know, "Leaves for Life" or something like that. However, I had entirely forgotten about giving in winter until Michael mentioned it. Any date and theme is fine with me.
